One of the most common questions I hear from newly engaged couples planning a wedding in Central California is: “When do we actually need to book our florist?”

The honest answer? Much earlier than most people expect– and earlier than most wedding timelines suggest.

Here’s what you need to know so you don’t find yourself falling in love with a florist’s work, only to discover their calendar is already full for your date.

The Short Answer: 12–18 Months Out

For peak wedding season dates (spring and fall especially) the most sought-after floral designers often book up a year or more in advance. If you have a specific aesthetic in mind and you’ve found someone whose work you genuinely love, I wouldn’t recommend waiting to book them.

The design process for a custom floral experience is not something that can be rushed. It involves getting to know you, understanding your vision, building a mood board, crafting a detailed proposal… all before a single flower is ever ordered. That time and attention is part of what you’re investing in.

Most floral designers, especially those who create fully custom work for events, take a very limited number of weddings per weekend. This isn’t about exclusivity; it’s about being able to give every couple the care and attention their wedding deserves.

What to Know When You Reach Out

You don’t need to have everything figured out before your first inquiry- that’s what the design process is for. But it helps to have a sense of the following:

  • Your wedding date and venue. Even a general sense of the space – outdoor garden, indoor ballroom, vineyard – helps a florist understand the scope and scale of what you’re envisioning.
  • A rough sense of aesthetic. Think more along the lines of the feeling you want to create, not just a list of flower names. Romantic and lush? Clean and sculptural? Wildly colorful or softly tonal? And yes, inspiration images are always welcome!
  • A general budget range. Florists aren’t trying to up sell you- they’re trying to make sure they can design something that genuinely reflects your vision within the reality of what’s possible. Transparency when it comes to budget saves everyone time.

Planners and Florist Referrals

If you’re working with a wedding planner, they can be an incredible resource for finding a florist whose aesthetic and professionalism are the right fit. Planners see the behind-the-scenes- they know which designers show up prepared, communicate clearly, and deliver work that genuinely transforms a space. A referral from a trusted planner carries real weight.

If you’re planning independently, trust your instincts when you look at a florist’s portfolio. Do their weddings feel like yours? Does the work feel intentional and personal, or does it feel templated? The right florist won’t just make your wedding look beautiful- they’ll make it feel like you.
